Job Description:
Join the KPFF Lacey, WA team in a fun and dynamic office setting providing administrative and marketing support to engineers and surveyors, project managers, and leadership. This role is critical to maintaining a professional, organized, and efficient office environment for our 45+ professional firm. Key Responsibilities
In this position, you will serve as the primary administrative and marketing support for various teams and first point of contact for clients, visitors, and staff. You will leverage your expertise in document control, scheduling, and day-to-day office coordination. This role includes the following tasks as needed:
Handle daily mail, incoming and outgoing shipments, and deliveries
UPS coordination, and maintaining mail meter/supplies
Proofread and edit Word and Excel documents (such as contract agreements, fee spreadsheets, and various reports)
Process and track contracts and change order/amendments
Support Project Managers with marketing proposal submissions and engage in go-no-go decisions
Attend pre-proposal meetings with Project Managers and coordinate with subconsultants to gather required Statement of Qualifications (SOQ) content
Prepare and edit non-technical SOQ content, including cover letters, resumes, project descriptions, and executive summaries
Ensure SOQ submissions meet Request for Qualifications (RFQ) agency or client requirements and meet KPFF quality standards
Prepare interview and presentation materials for shortlisted teams
Provide support for monthly marketing opportunity updates, and monitor upcoming pursuits
Support staff with marketing materials and content for special events and meetings
Maintain Unanet marketing database for storing resumes and project bios
Assistance with jurisdictional fees, plan sheet requirements, and title reports
Support onboarding processes including equipment and coordination with IT and serve as IT on-site “eyes and hands”
Assist with basic troubleshooting, equipment setup, and coordination of equipment maintenance requests
Assist team members and engineers with project deliverables
Procure office and kitchen supplies, snacks, and other clerical or operational inventory
Maintain tidiness of conference rooms and common areas
Lead coordinator for internal meetings and office events
Provide back up support to other administrative staff as needed
Qualifications:
Required Qualifications
High School Diploma or GED required (AA or four-year degree preferred)
3+ years’ experience in office administrative duties
Detail-oriented with effective ability to organize, prioritize, multi-task, and meet deadlines
Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint, Teams, and Outlook),
Clear, precise written and oral communication and editing skills, and proficient with the English language
Excellent interpersonal communication and customer service skills with ability to troubleshoot and a passion for customer service
Familiarity with event planning and/or coordination of team activities
Additional Desired Qualifications
2+ years’ experience working in an A&E firm
Basic understanding of accounting practices
Familiarity with other various software programs such as InDesign, Adobe, Bluebeam, Canva, Unanet, etc.
Familiarity with Washington A/E/C procurement processes

Ability to sit or stand for extended periods while working on a computer
Occasionally, it may be required to lift objects weighing up to 15 lbs.
Mobility to move throughout the office including bending, kneeling, reaching, or crouching to access workspace supplies and equipment

Compensation
KPFF values the contributions of our administrative staff and strives to provide fair and competitive compensation based on location and market standards. This position is classified as non-exempt under the Fair Labor Standards Act (FSLA) and is eligible to receive overtime compensation at 1.5 times the regular rate of pay for all hours worked beyond 40 hours in a standard work week. For this position, compensation includes:
Hourly Pay: $31.00 - $36.00 per hour, depending on experience and local office standards.
Additionally, we offer performance-based bonuses to recognize and reward outstanding contributions in each Reporting Center. During the interview process, we'll provide detailed information and address any questions you may have about the overall compensation package and benefits.
