Our Human Resources group is currently looking to add an Onboarding & Field Recruitment Coordinator to our growing team, based in Edmonton or Calgary, AB.
Reporting to the Senior HR Business Partner, we are seeking a highly organized and detail-oriented HR professional with experience in onboarding coordination and field recruitment to support high-volume workforce demands. This role is key in delivering a consistent, compliant, and positive onboarding experience for all new hires while supporting union dispatch coordination and workforce operations for field teams.
Duties and Responsibilities
Onboarding
Lead end-to-end onboarding for all new hires across field and corporate operations, managing multiple cohorts simultaneously while ensuring documentation complies with CBAs, company policy, and applicable employment regulations
Coordinate onboarding logistics including orientation sessions, system access, and role-specific requirements in partnership with HR, IT, payroll, and hiring managers; serve as the primary point of contact for new hires throughout the process
Maintain accurate, audit-ready employee records across all workforce classifications in the HRIS and continuously identify improvements to onboarding workflows to reduce errors and improve the new hire experience
Field Recruitment
Manage full-cycle recruitment for field-level, hourly, skilled trades, and operational roles across union and non-union environments, building and maintaining pipelines of qualified field talent to meet ongoing and seasonal workforce demands
Source candidates through field-based channels including trade schools, apprenticeship programs, union referrals, and community organizations; attend hiring events and career fairs to drive applicant flow
Partner with field supervisors, operations managers, and union stewards to understand staffing needs and classification requirements; conduct screens, manage pre-employment steps, and maintain accurate ATS records throughout the recruitment cycle
Workforce Help Requests & Union Dispatch
Receive, triage, and resolve workforce help requests from field employees and managers with sound judgment and discretion; advise on union agreements and workplace procedures clearly and accurately
Manage union dispatch requests in compliance with CBA terms, maintaining detailed dispatch logs and proactively resolving discrepancies related to seniority rules, classifications, and site assignments
Cultivate strong working relationships with union representatives, stewards, and field leadership
HR Operations & Compliance
Ensure all recruitment, onboarding, and workforce activities comply with company policies, CBAs, and applicable legislation; maintain accurate organizational charts, employee records, and HR documentation in accordance with audit and privacy requirements
Coordinate with Payroll on new hires and status changes; support workforce planning activities including crew composition tracking, resource allocation, and resourcing requirements in collaboration with internal Workforce Management teams
Prepare workforce reports and provide insights to HR leadership and business stakeholders to support decision-making
Requirements
Post-Secondary education in Human Resources, Business, or a related field
an equivalent combination of relevant education and experience may be considered
3 years of HR operations experience
Demonstrated experience supporting employee onboarding in a high-volume environment
In-depth knowledge of union environments, collective bargaining agreements (CBAs), and dispatch processes
Strong understanding of full-cycle field recruitment including sourcing and screening of field and craft applicants
Working knowledge of core HR functions including benefits administration, payroll, and employment records
Proficiency with ERP systems (JDE), HRIS systems, applicant tracking systems (workable), and Microsoft Office Suite
Exceptional attention to detail with the ability to manage high-volume, time-sensitive tasks accurately
Preferred Skills / Qualifications
CPHR, SHRM-CP, RPR, or equivalent HR certification, or actively working towards designation
Previous experience in the construction, utilities, or trades industry
Experience supporting unionized workforce planning and field operations
