We'll call it a one-stop shop for your resource and capacity management, I think is exceptionally helpful. It has a lot of capabilities above and beyond just ‘this person is assigned to this project.’ There's a lot deeper levels of detail you can add and see, especially at a project level.

Background

AssistRx is a technology and services company focused on accelerating patient access to therapy. Its mission centers on ensuring patients receive the medications and treatments they need without unnecessary delays.

The company supports this mission through a dual approach. On the technology side, AssistRx provides tools like the iAssist platform, patient engagement sites, and its Advanced Gateway APIs, which deliver critical data and streamline communication between stakeholders. On the services side, a large portion of AssistRx’s business comes from its hub services. These are teams of trained agents who support manufacturer clients by guiding patients through access workflows, managing calls, and ensuring therapy initiation.

AssistRx transitioned to Mosaic in 2024 to unify their company with one standard resource management database and to keep track of that data in the same or similar place to where they were logging their planned time against those plans. 

The Challenge

Before adopting Mosaic, AssistRx managed their resources using a mix of Excel files, Smartsheets, and individual memory, and kept a completely separate system for time tracking. None of these tools connected with each other, meaning they had to make manual updates and have constant communication to ensure their data was up to date. Although this process kept their staff busy and kept leadership informed with some confidence, it required significant effort and upkeep to ensure the data was correct. 

AssistRx needed one single source of truth that tied to their time entries when it came to resource data. The disjointed systems and siloed planning methods across teams made it difficult to align their plans with the reality of their work, preventing growth. It was clear that they’d outgrown their tools.

The Solution

AssistRx needed a tool that would allow them to manage their resource planning, time tracking, and reporting in one place without compromising on depth or flexibility. Mosaic met that need, helping them manage people and projects more effectively while positioning the company to grow into more advanced financial management.

The AssistRx team worked to build their reporting structures within the platform so their leadership had easy access to in-depth data and visibility into what their staff was working on. Although it took time to tailor the reporting to their needs, once the data stabilized Mosaic started to feel like exactly what they’d needed. Mosaic was a single, unified system that could support their pace, complexity, ambition. 

The biggest win so far is being able to see what folks are assigned to and what they’re logging time against, and compare those side by side. That visibility into role demand has been really impactful
