AssistRx

's full story here.

“We'll call it a one-stop shop for your resource and capacity management, I think is exceptionally helpful. It has a lot of capabilities above and beyond just ‘this person is assigned to this project.’ There's a lot deeper levels of detail you can add and see, especially at a project level.”

Background

AssistRx is a therapy initiation and patient support services company focused on accelerating patient access to therapy. Its mission centers on using its powerful combination of technology and talent to ensure patients receive the medications and treatments they need without unnecessary delays.

On the technology side, AssistRx proprietary Advanced eServices empower healthcare providers, patients, caregivers and patient solutions teams with automated, digital solutions to speed access to therapy, enable patient adherence and facilitate patient journey visibility. These tools, deployed through iAssist, patient engagement sites, and its Advanced Gateway APIs, deliver critical data and streamline communication between stakeholders. On the services side, a large portion of AssistRx’s business comes from its patient support services. These are teams of trained team members who support life sciences organizations by guiding patients, healthcare providers and caregivers through access workflows, managing calls, and ensuring therapy initiation.

AssistRx transitioned to Mosaic in 2024 to establish one standard resource management database and to keep track of that data in the same or similar place to where they were logging their planned time against those plans.

The Challenge

As AssistRx scaled operations alongside its growth, teams continued to manage resources using established internal processes, with time tracking handled in a separate system. While this approach provided flexibility and kept leadership informed, it relied on manual updates and close coordination across teams to maintain alignment and accuracy.

Over time, the growing complexity of these systems created an opportunity to streamline and modernize this approach. AssistRx recognized the value of bringing resource planning and time data together into a single, connected view. With planning spread across multiple tools and teams, it became increasingly difficult to quickly reconcile plans with real-time work and confidently support future growth. The organization had reached a point where a more integrated, scalable solution was the next step forward.

The Solution

AssistRx needed a tool that would allow them to manage their resource planning, time tracking, and reporting in one place without compromising on depth or flexibility. Mosaic met that need, helping them manage people and projects more effectively.

The AssistRx team worked to build their reporting structures within the platform so their leadership had easy access to in-depth data and visibility into what their staff was working on. Although it took time to tailor the reporting to their needs, once the data stabilized, Mosaic started to feel like exactly what they’d needed. Mosaic was a single, unified system that could support their pace, complexity, and ambition.

"The biggest win so far is being able to see what folks are assigned to and what they’re logging time against, and compare those side by side. That visibility into role demand has been really impactful"

The Results

  • Clearer visibility into resource assignments and time tracking: One of the biggest wins for AssistRx has been the ability to clearly see what each team member is assigned to and how they’re logging time. This side-by-side view of allocation versus actual time spent has allowed for more informed conversations about capacity and workload.

  • Improved insight into role demand across the organization: Mosaic has helped surface gaps in capacity and which roles are consistently in demand. The platform has delivered much-needed visibility into resourcing trends, which supports more strategic workforce planning.

  • Support for evolving staffing models during organizational change: Mosaic has provided critical data that supports company and leadership transitions. As AssistRx evolves, the visibility Mosaic offers continues to play a foundational role in adjusting staffing models and project planning more intelligently.

Conclusion

Mosaic gave AssistRx the clarity, control, and cohesion they needed to support its evolving, growing business. What started as a need to streamline time tracking and resource planning became a foundational shift in how they manage people, forecast needs, and scale operations. Mosaic created a unified system that powers more confident staffing decisions, better workload alignment, and smarter cooperation across teams.
