Mosaic is something you really have to see for yourself.

Connections

Planning from Microsoft 365, Claude and ChatGPT

Mosaic, an AI project and resource planning tool, works with Microsoft Teams, Outlook, Planner and Project, and Chello, Mosaic’s AI planning assistant, keeps the plan current from Teams. Through Mosaic’s MCP server, the connection that lets an AI assistant such as Claude or ChatGPT work with Mosaic’s data, those assistants can answer planning questions from the live plan.

Microsoft 365

Does Mosaic work with Microsoft Teams, Outlook, Planner and Project?

Yes: Chello works inside Microsoft Teams, Outlook connects for calendars, and Microsoft Planner and Microsoft Project connect for schedules, so people keep working in the Microsoft 365 apps they already use. Microsoft 365 stays where the work is discussed and tracked, and Mosaic is where the firm plans who works on what across every project.

‍

Mosaic connects to Microsoft 365 rather than replacing it. Firms that schedule in Microsoft Project or track tasks in Planner keep doing so, and Mosaic plans the people across all of their projects.

Chello in Microsoft Teams

What does Chello do in Microsoft Teams?

Chello in Microsoft Teams asks each project manager what changed on their projects, in a Teams chat, and one reply gets the plan to match reality. Chello also answers questions about the plan in the same chat, such as who’s free next month or which projects are at risk, and proposes people for open roles.

‍

People never seem to have time to keep up on planning. Most firms on Mosaic get most of their people planning. The only thing that gets everyone planning is the Teams integration.

‍

Firms on Mosaic plan 80% or more of their billable staff capacity, against under 50% at typical firms planning on ERPs and spreadsheets. With Chello in Microsoft Teams, it’s over 90%.

What an AI planning assistant does

MCP server

Does Mosaic have an MCP server for Claude or ChatGPT?

Yes: Mosaic’s MCP server lets AI assistants such as Claude and ChatGPT work with Mosaic’s plan, covering projects, phases, staffing, schedules, time, rates and reports. A connected assistant reads the plan to answer planning questions and can change it through Chello, within the permissions of the person who connected it.

‍

API access is available to every customer, as an add-on that comes with support, for firms that build their own workflows on the same plan.

  • Reads capacity, availability and workload, by person and role
  • Answers staffing questions from the live plan, within the connecting person’s permissions
  • Changes the plan through Chello, within the same permissions
  • Works from the same plan as Chello and the firm’s project managers
Staffing questions

Can we connect Claude or ChatGPT to our planning tool to answer staffing questions?

Yes: once connected through Mosaic’s MCP server, Claude or ChatGPT answers staffing questions from the live plan, such as who’s free next month by role, who’s overloaded and which projects have open roles. An assistant can only answer from the data it can reach, and an export holds history, not the plan for who works on what next.

‍

The same questions work in Microsoft Teams with Chello, without connecting another assistant.

Microsoft 365 Copilot

Is there a Microsoft 365 Copilot connector for resource planning?

Microsoft 365 Copilot answers from the data it can reach, and the staffing plan lives in Mosaic, so Copilot needs a connection to Mosaic to answer resource planning questions. Mosaic’s MCP server is that connection: Copilot works with the live plan through it, the same way Claude and ChatGPT do.

‍

Chello in Microsoft Teams answers the same questions from the same plan.

Before an RFP

Can an AI agent check staff availability before we commit to an RFP schedule?

Yes: an agent connected through Mosaic’s MCP server can read availability and workload for the roles a pursuit needs, over the dates the RFP proposes, before anyone commits to the schedule. It answers from the same plan the firm staffs from, so the check counts the work already planned and each person’s time off.

How to forecast staffing needs, including work not yet won

An example exchange. The project, roles and hours are illustrative.
StepExample
The question“We’re bidding on a school renovation that would start in March. Do we have two architects and an interior designer free for 30 hours a week from March through June?”
What the agent readsEach architect’s and interior designer’s capacity, the work already planned for them and their time off, week by week from March through June.
The answer“Both architects have the hours from April. In March, both are committed to another project. One interior designer is free throughout.”
What happens nextThe proposal team proposes an April start, or asks the other project’s manager whether its March work can move. People make that call.
Permissions

Who controls what Chello and AI assistants can change?

Chello keeps the plan current on its own, within the permissions your firm sets, and brings the decisions that need a person to the person who makes them. AI assistants connected through Mosaic’s MCP server act within the permissions of the person who connected them.

‍

An assistant connected by a project manager works within what that project manager can see and do. Access defaults to locked, and planning gets gated.
